What a cleaning invoice must include
- Your business info - name, logo, address, phone, and email, so the client knows who is billing them
- Client details - name, billing contact, and the service address where the cleaning was done
- A unique invoice number and the issue date - never reuse a number; INV-001 or a dated 2026-014 both work
- Itemized services - each clean or add-on on its own line, with hours or rate and a line total
- Subtotal, sales tax (if your state taxes cleaning), and a bold grand total
- Payment terms and a due date - net 7, net 14, or net 30, stated plainly
- Accepted payment methods and any late fee - card, transfer, cash, or a payment link

How to invoice for cleaning services
Work from the quote the client already accepted. Copy the line items over, add tax if your state charges it on cleaning, set a due date, and send it the same day. Invoices that go out while the work is fresh - and that include a clickable way to pay - get settled far faster than ones that land a week later in a long email.
Keep your terms short and your numbering clean. Net 7 to net 14 is normal for residential work, net 30 for commercial accounts. Number every invoice in sequence so nothing slips through your books, and send a receipt once payment clears so the client has proof and you have a clean record for tax time.
- Invoice the day the job finishes, while the work is fresh
- Start from the accepted quote so the line items already match
- Add tax as its own line if your state taxes cleaning services
- Set a clear due date and state it plainly on the invoice
- Include an easy payment method or link so it gets paid fast
- Number invoices in sequence and send a receipt once paid

Skip the template. Send the invoice from the quote.
A template is fine to fill in by hand, but Estimaid turns the quote your client already accepted into a branded, itemized cleaning invoice in one tap - subtotal, tax, and total calculated for you - then tracks every invoice from sent to paid so you stop chasing payments in a spreadsheet. Set your rates once and bill every job in minutes.
